Position : Executive Assistant 

Working Hours : Mondays to Fridays; 12:00PM to 8:00PM EST

Salary range  : $1,500- $1,800 per month depending on experience

Role Overview

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support senior leadership. This role is critical in maximizing productivity, maintaining strong external relationships, and ensuring operational excellence across both professional and personal workflows.

Key Responsibilities

Work Calendar Management

• Schedule meetings with high-priority individuals across the venture and business ecosystem
• Track and re-engage with important contacts not recently in touch
• Coordinate complex group scheduling with other executives and their assistants
• Ensure optimal calendar hygiene and time-blocking

Personal Calendar Management

• Schedule personal dinners, social gatherings, and events
• Manage invites and RSVPs for group dinners and special occasions
• Draft and send email invitations to personal and professional groups

Travel Planning & Coordination

• Monitor network activity to identify key individuals in cities of upcoming travel
• Proactively schedule relevant meetings ahead of travel
• Manage all travel logistics (flights, hotels, itineraries, reservations)

Communication & Follow-Ups

• Draft and send templated follow-up emails after meetings and events
• Maintain communication cadence with external stakeholders

CRM & Contact Management

• Maintain and update contact records in Juniper Square
• Add new relationships and ensure onboarding emails are sent promptly
• Track investor communications and notes within CRM

Legal & Document Execution

• Send and track documents for signature using DocuSign and DocSend
• Coordinate with legal teams and counterparties on timing and completion

Presentation & Document Formatting

• Format pitch decks and reports into standardized PowerPoint template
• Ensure consistency across branding, visuals, and data presentation

Research & Knowledge Management

• Conduct company research including bios, recent funding, and strategic overviews
• Provide links to key sites, announcements, and filings
• Log key processes and workflows in Notion for internal reference and scaling

Ideal Candidate Profile

• Highly detail-oriented and execution-focused
• Excellent communicator with discretion and professionalism
• Proficient in Google Workspace, Microsoft PowerPoint, Notion, Juniper Square, and DocuSign
• Familiarity with venture capital, private equity, or high-growth startup environments is a plus
• Comfortable interfacing with senior executives, founders, and investors
