We are seeking an organized, detail-oriented professional to join our team as an Insurance Compliance Specialist. In this role, you will play a critical part in supporting our trucking and logistics operations by coordinating insurance documentation, ensuring accurate record-keeping, and maintaining strong relationships with internal and external partners. This is a remote position, ideal for someone who thrives in a fast-paced, process-driven environment and values compliance and accuracy.
* Request, review, and track insurance certificates and related documents from clients, vendors, and partners.
* Maintain up-to-date insurance records within the CRM and compliance databases, ensuring accuracy and completeness at all times.
* Monitor expiration dates and proactively reach out to stakeholders for renewals or updates of insurance certifications.
* Communicate professionally with all parties to resolve documentation issues and provide clarification regarding insurance requirements.
* Collaborate with other departments to support onboarding, compliance checks, and risk management processes.
* Prepare reports on insurance status and compliance for leadership review.
* Handle sensitive information with the highest level of confidentiality and in accordance with legal and company guidelines.
* 1-2 years of experience in insurance coordination, compliance administration, or a related office environment.
* Familiarity with insurance requirements in the trucking or logistics industry preferred.
* Experience using CRM or document management software (e.g., Salesforce, HubSpot) is an advantage.
* Excellent organizational skills and high attention to detail.
* Strong written and verbal communication abilities, comfortable explaining insurance requirements to a variety of stakeholders.
* Proactive problem-solving approach with a focus on timely follow-up and resolution.
* Ability to multitask and prioritize tasks to meet deadlines in a dynamic environment.
* Proficiency in using MS Office Suite (Word, Excel, Outlook).
* High school diploma or equivalent required.
* Additional training or certification in insurance, compliance, or office administration is a plus.
* Ensure 100% of active accounts have up-to-date insurance documentation on file.
* Respond to documentation requests and email queries within established timeframes.
* Maintain accurate and timely data entry in all relevant systems.
